The Position

The Donations Supervisor, part of our Development and Community Engagement (DevCo) team, oversees the workflow and procedures of identifying, securing, and distributing in-kind goods and services to participants and operations. This role coaches staff on donor relations best practices, problem solves inquiries of donations from internal staff, and assists in setting team goals with the Community Engagement Manager. The Supervisor works with corporations, community groups, and individuals to secure donations, and coordinates with Programs management and staff to distribute goods to program participants.

What You'll Do

  • Supervises pipeline of in-kind donations and coordinates with corporations, community groups, and individuals to secure donations
  • Maintains positive relationships with donors and identifies moves management strategies
  • Identifies agency in-kind needs in collaboration with Community Engagement Manager and Programs Management
  • Supervises logistics of receiving and pick-up of donations and manages pick-up, delivery, and distribution calendar
  • Maintains inventory needs and provides tools to assemble in-kind donations for delivery
  • Tracks donations in CRM system and ensures data integrity and compliance
  • Enter In-kind gifts, generate thank-you letters, create monthly financial/donation reports for Finance Team, add/update donor information in Salesforce which streamlines the in-kind accounting process for greater efficiency and accuracy.
  • Supervise community and corporate volunteer groups at the Snoopy.
  • Speaks at community and corporate events to recruit volunteers and in-kind donors
  • Supports Communications team by capturing photos and stories during program events
  • Additional tasks, projects, and responsibilities as assigned by Community Engagement Manager.

 

SUPERVISING STAFF

  • Manages the schedule for the distribution and collection of donations
  • Keeps detailed records and engages in regular discussions with the Community Engagement Manager regarding employee relations and staff performance
  • Assists the Community Engagement Manager in the recruitment process, including conducting interviews, onboarding, and training new employees
  • Provides instruction and guidance to new employees on established procedures and workflow
  • Ensures that all company branding materials and physical working environments adhere to presentation standards
  • Supervise and work closely with Inventory Coordinator and Donation Associates to streamline the Snoopy Reimagined Project including redesigning aisles, shelving and bins; implement Standard Operating Procedures (SOPs) for intake fulfillment, distribution and volunteer operations.

What You're Skilled At

  • In-depth understanding of the challenges associated with homelessness and the principles of child development and early childhood education
  • Ability to work effectively with diverse populations, including individuals with high acuity needs
  • Strong ability to work both independently and as part of a team
  • Exceptional skills in written and verbal communication
  • Exceptional organizational and problem-solving abilities
  • Proficiency in using Microsoft Programs such as Word, Excel, Access, and PowerPoint
  • Experience with electronic data entry
  • Bilingual proficiency in English and Spanish (highly desired)

Other

  • Maintains and executes confidential information according to HIPPA standards
  • Obtain and maintain CPR/First Aid Certification
  • Ability to lift at least 10lbs
  • Ability to pass a Pre-Employment Physical Exam
  • Ability to pass post-offer Tuberculosis (TB) clearances
  • Ability to work in an upright standing position for long periods of time
  • This position does not require regular driving as part of daily duties but may be needed occasionally
  • Ability to work a 9/80 work schedule with flexibility to work weekends, evenings, and holidays

Experience

  • Associate degree with at least 3 years of experience in distribution, sales, customer service, or a related field
  • Minimum of 4 years of experience in general office management
  • Experience training and mentoring staff and/or volunteers
  • Non-profit experience with a focus on securing in-kind donations is preferred
