The Position

Under the supervision of Chief People and Culture Officer and in collaboration with the People and Culture department, the Senior Administrative Assistant performs a range of complex, sensitive, and confidential office administrative and People and Culture support functions. This role is responsible for ensuring smooth operations, facilitating executive and People and Culture workflows, and supporting various administrative and human resource activities. 

What You'll Do

ADMINISTRATIVE SUPPORT:

  • Organizing and managing schedules, appointments, and meetings for the executive
  • Handling correspondence, emails, phone calls, and inquiries on behalf of the executive
  • Planning and coordinating travel itineraries, flights, accommodations, and other logistics
  • Documentation and Record-Keeping: Drafting reports, SOP’s, preparing presentations, drafting business memos and communications, and maintaining files and records
  • Providing assistance such as handling expenses, coordinating office operations, and providing support to the department management team and staff
  • Assisting in special projects, coordinating with various departments, and ensuring deadlines are met
  • Overseeing projects from inception to completion, ensuring timely delivery and adherence to budgets and scope
  • Developing reports and PowerPoints, documenting SOP’s, departmental statistics and workflows
  • Support weekly All Staff Meetings by coordinating with the Executive Team, standardizing communication processes, and distributing Zoom recordings to all staff
  • Providing direct administrative support to the Chief People & Culture Officer (CPCO) and General Counsel as needed
  • Preparing, reviewing, and organizing legal documentation, ensuring accuracy, confidentiality, and compliance with internal and external requirements
  • Managing all invoicing and payment tracking for the People & Culture team, including HR and Training functions

 

HR SUPPORT:

  • Assist in the preparation and distribution of HR-related confidential documents
  • Use HR software (such as UKG) retrieve information, generate reports, and compile data for HR analysis, distribution and decision-making
  • Assist in the planning and coordination of HR events, meetings, and training sessions, including managing logistics and participant communications
  • Assist with ad hoc HR tasks, including recruitment and onboarding of new hires

  • Collaborate with internal stakeholders to establish agency-wide standardization in systems

 

COMPLIANCE & POLICY SUPPORT:

  • Assist in maintaining compliance with HR policies and procedures, support HR initiatives related to employee engagement and satisfaction, and coordinate audit requests

 

OTHER:

  • Support additional agency leaders as directed by supervisor
  • Additional tasks, projects, and responsibilities as assigned by supervisor

What You're Skilled At

Other

  • Maintain and execute confidential information according to HIPAA standards.
  • Obtain and maintain CPR/First Aid Certification.
  • Ability to pass post-offer Tuberculosis (TB) clearances.
  • Ability to lift at least 15lbs.
  • Ability to sit/stand for prolonged periods of time.
  • This position does not require regular driving as part of daily duties but may be needed occasionally  
  • Ability to work a 9/80 work schedule, with flexibility to work weekends, holidays, and after-hours as needed.

Experience

  • Bachelor’s degree in business or a related field with a minimum of three (3) years of proven experience as an administrative assistant or similar role, preferably supporting high level executives. Equivalent work experience can substitute for education requirement
  • Experience working with a Human Resource Information System; Ultimate Kronos Group (UKG) highly desired
  • Previous experience with social services and/or homeless programs preferred
