The Position

The Human Resource Associate – Onboarding Specialist supports LA Family Housing’s (LAFH) onboarding efforts and collaborates with the Human Resources Manager – Talent Acquisition and Onboarding to achieve compliance goals. This detail-oriented and personable team member is responsible for coordinating all aspects of the onboarding process from creating offers through the new hire’s first day ensuring a smooth transition, compliance with internal policies, and adherence to legal requirements.

What You'll Do

  • Accurately entering new hire data into HRIS system and tracking onboarding progress to ensure timely completion
  • Collect, verify, and maintain all required compliance documents, such as pay scales, motor vehicle reports (MVRs), signed policies, TB tests, Physicals, CPR certifications, and I-9 forms
  • Prepare and send offer letters that clearly outline job roles, salary, and terms of employment
  • Initiate background checks and review results to ensure they meet company and legal standards
  • Coordinate with IT to order and set up computers, software, email accounts, and system access so new hires are ready on day one
  • Work closely with Finance/Payroll to ensure new employees are correctly set up in the payroll system and paid accurately based on their position
  • Manage internal employee transfers by updating records, notifying departments, and ensuring smooth transitions
  • Provide new hires with detailed onboarding instructions, including timelines and next steps
  • Maintain organized and secure employee files, both physical and electronic, following company policies and legal requirements
  • Assist in planning and scheduling New Hire Orientation, including preparing materials and coordinating with presenters
  • Maintain onboarding checklists and compliance trackers to monitor progress and address any gaps
  • Generate and analyze onboarding reports, such as completion rates and time-to-hire, to support process improvements
  • Collaborate with HR team members and department managers to continuously enhance the onboarding experience
  • Protect the confidentiality of all employee information and handle sensitive data responsibly
  • Keep up to date with employment laws, HR trends, and compliance requirements related to onboarding activities
  • Support other HR initiatives, projects, and tasks as assigned by the supervisor

What You're Skilled At

  • Strong understanding of HR processes, onboarding workflows, and employment documentation requirements
  • Working knowledge of federal and state labor laws related to hiring and employee records.
  • Experience using HR systems and technology; proficiency in HRIS and ATS platforms such as UKG and iCIMS
  • Excellent attention to detail and ability to manage and maintain accurate employee records.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook) and comfortable working with digital tools and trackers
  • Able to work effectively in a fast-paced environment with shifting priorities and deadlines.
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Maintains confidentiality and exercises discretion when handling sensitive information
  • Collaborative and adaptable team player with a proactive, solutions-oriented approach

Other

  • Maintain and execute confidential information according to HIPAA standards
  • Obtain and maintain CPR/First Aid Certification
  • Ability to pass post offer Tuberculosis (TB) clearances
  • This position does not require regular driving as part of daily duties but may be needed occasionally
  • Ability to work a 9/80 work schedule

Experience

  • Bachelor’s degree , preferably in Human Resources, Systems Management  or equivalent experience required 
  • At least two years working in human resources
  • Experience with HRIS and ATS systems such as UKG and iCIMS preferred
  • Professional in Human Resources (PHR) certification preferred
